Suitable telephone system for small hotel (25 rooms)?
I am looking at different proposals to install a new, basic telephone system at our hotel to replace the old one (pulse metering and dot matrix printer!). I have received 4 or 5 quotes from different telephone companies. The prices for installation of the new consoles at reception and call logging computer software range from £3700 plus VAT for a NEC XT120 system + MyCalls software, to around £6000 + VAT for a Siemens system with Callista Lite software!
Like most businesses we don’t want to be paying over the odds if we don’t need to, but at the same time we don’t want to risk getting landed with an unreliable system (I am a firm believer that you get what you pay for). I am writing in the off chance that there is someone out there who already uses the NEC system or MyCalls sofware at their business and whether they would recommend it or not?

My name is Kevin, I have experience with both Siemens and NEC systems.
My experience has shown that installing the right system can provide a great ROI and an increased customer satisfaction.
First of all consider this potential investment from a business perspective, I will make this assumption you are the proprietor, and any investment comes directly from your pocket. Therefore ask yourself the following:
Are you looking to provide extensions in each room? (If so, make sure you are quoted for POT (plain ordinary telephones), these will be available for around £20 per unit. By doing this, you are not sacrificing quality; your guests will have minimal need for an all-singing handset.
Also consider what the future may hold for the hotel. An NEC System is in all honesty a limited system (although I must state, it is a good option for smaller businesses). Are there any plans to provide conferencing faculties, independent restaurant bookings etc? I say this because, while the NEC XN boasts the ability to expand up to 72 extensions, additional cards will have to be purchased, and of course installed(further expense).
In terms of Mycalls, yes its a great piece of kit, it will provide you with all you need in terms of call activity monitoring and report generation, however; it is not as comprehensive as Callista, for the simple reason that Callista is third party solution provider.
You should however, investigate the hotel package released by NEC a few months back, this will provide you with much more than call management software. Remember; call management software records the call activity. Whereas the Callista hospitality package and NEC hotel package provide a range of features, e.g. booking, invoicing etc, which is much more central to the daily needs of a hotel.
Now you haven’t mentioned which Siemens System you have investigated, is it the Hipath 3550? If so, you should be aware of certain promotional offers that are available.
To address your fears, both systems are reliable, both systems are expandable, however; unlike other industries, I typically find hotels look to keep there system in operation for between 10 – 15 years. And for this reason, I would consider a Siemens System with third Party Software. This will (as you’ve seen) cost a little more, but im sure you’ll see the investment is central to the hotels operations.
Please make sure you take into account maintanence costs too, I dont know if your know how telecoms companies build these… each NEC component (for an NEC system) will be included, i.e., Voicemail/ autoattended card, handsets etc . In terms of handsets, enquire about the maintenance cost with the handsets. Handsets are both durable and inexpensive to replace,
(A little tip, should a handset break, go to Argos), a hybrid system (NEC) will let you plug in an analogue phone.
Another area you should consider is the lines, what have you been recommended? From what you have mentioned, I believe you should consider either 2 or 4 channels of ISDN2 (dependant on line demand).

with reference to to above answer, I am not in agreement that BT is always best, you pay a premium for the same quality. BT now has two divisions, in particular, wholesale, since deregualtion they are now selling part of its infrastructure to other comms companies such as Opel telecom. The only difference bewteen BT and othese is cost, you can expect to save around 50% on your phone bills. Have the company you decide to purchase a system from do this for yo, this way you will also have an account manager for this area of your comms.
